In line with the Building Safety Act 2022, Link365 Ltd is committed to enhancing building safety and ensuring clear accountability throughout the project lifecycle. To support this, the company integrates the use of digital platforms such as 1Breadcrumb and Procore to streamline compliance, improve transparency, and ensure accurate, real-time record-keeping across all projects. This Policy establishes the means with which to assess the risks and opportunities associated with the contracting, procurement, and provision of supplies and services on a corporate and project level, as well as the development of sustainable commercial relations.

As part of this commitment, Link365 considers it a priority to prevent all risks originating from its supply chain or the goods and services produced or supplied by the companies in its supply chain.

The purpose of this Policy is to extend our commitments, policies, and values to our entire value chain and to encourage our suppliers, providers, collaborators, contractors, and subcontractors (jointly “suppliers”) to comply with these same commitments.

This Policy covers our management approach to the supply chain and reflects our commitment and that of our suppliers. It should be read and interpreted in conjunction with any applicable amendments, with our Code of Conduct, our Sustainability Policy Framework, and our other policies, reports, and statements (such as the Modern Slavery Statement) on sustainability and the commitments assumed by Link365.

Commitment to Quality

Link365 Ltd is wholly committed to our quality policy which is in place to ensure our services fully meet the requirements of our customers at all times. To achieve this goal we are committed to implementing, maintaining and continually assessing operational systems and processes.

Approach to Quality

The Quality Policy is based on 3 fundamental principles:

Ensuring that we fully identify and conform to the needs of our customers.
Looking at our service provision processes, identifying the potential for errors and taking the necessary actions to eliminate them.
Everyone at Link365 understands how to do their job and does it right the first time.

Although Link365 does not currently hold an ISO or equivalent quality accreditation, we do meet all applicable statutory regulations and maintain an effective Quality Management System supported and operated by all members of the staff in order to achieve the specified objectives.

To ensure that the policy is successfully implemented, staff are responsible for identifying customer requirements, and ensuring that the correct procedures are followed to meet those requirements.

Objectives needed to ensure that the requirements of this policy are met and that continual improvement is maintained in line with the spirit of the policy, will be set, determined and monitored at Management Review.

Communication

The Quality Policy principles and objectives will be communicated and available to staff at all times. Training will be an integral part of the strategy to achieve the objectives.

Responsibilities

These are outlined as follows:

Responsibility for delivering quality services rests with everyone at Link365.
Each Team Leader has responsibility for monitoring the quality of services for their area of the business.
All supply chains, to procure products and services with a quality management system and appropriately certified. All products fall under CE Directives and Regulations
Overall responsibility for maintaining and evaluating our Quality Management System rests with Link365 Quality Director with the support of the Senior Management Team.

Training & Support

We shall ensure that all Link365 personnel understand and fully implement our Company's policies and objectives and are able to perform their duties effectively through an ongoing training and development programme.

As part of their induction to Link365, all staff are fully briefed on the Quality Policy, its aims and objectives.
Link365 staff are given full training to ensure they can carry out all functions of their role, as per guidelines set out in our quality manuals.
Annual appraisals are held for all staff to assess performance and identify training needs.
All training needs identified, to ensure quality is maintained, are fed into an overall training plan and assessed and implemented, whilst considering any budgetary constraints.

Monitoring & Evaluation

Link365 will constantly review and improve upon our services to ensure tasks are completed in the most cost effective and timely manner for the benefit of all our customers.

Link365 is committed to operating continuously to the highest possible quality standards and will maintain the necessary Quality Approvals consistent with our customer requirements.

The Board of Directors of Link365 Ltd recognises that modern slavery is a crime and violation of fundamental human rights. It takes various forms, such as slavery, servitude, forced and compulsory labour and human trafficking. All these activities have in common the deprivation of a person’s liberty by another to exploit them for personal or commercial gain.

Link365 Ltd has a zero-tolerance approach to modern slavery and we are committed to acting ethically and with integrity in all of our business dealings and relationships. We have put in place and enforced robust procedures and controls to ensure that modern slavery doesn't exist in Link365's operations or supply chain.

Employees' comments, recommendations, and questions about the Policy, its implementation, and content is encouraged by the Managing Director. This allows for a thorough review of the material. For this Policy review process, the Managing Director can solicit comparable feedback from the supply chain.

Link365 Data Protection Policy Statement

This policy relates to Link365 Ltd, we will comply with the Data Protection Legislation by following a number of important principles regarding the privacy and disclosure of information. The purpose of this policy is to ensure that Link365 staff are aware of their obligations when handling personal information which identifies a natural living person and that individuals internally and externally are aware of their rights.

The Link365 Committee is committed to applying the Data Protection Legislation throughout our organisation.

To operate efficiently, Link365 needs to collect and use personal information relating to current, past and prospective suppliers, clients, customers and others who we communicate with.

To enable Link365 to meet our data protection commitments, whilst protecting our reputation, we must adopt appropriate and relevant data protection and privacy standards, guidelines and requirements for legal, regulatory or legitimate organisational purposes. A personal data breach means a breach of security leading to the accidental or unlawful destruction, loss, alteration, unauthorised disclosure of, or access to, personal data.

If a data breach occurs, the Data Protection office must be informed by telephone to the appropriate person immediately. We will investigate, record and take any steps required to minimise the risk of further unlawful disclosure.

What is excluded from this policy

This policy is not required to cover information held for deceased individuals. However, it should be noted that it is best practice to apply the same principles.

Failure to comply with this policy

Failure to comply with this policy may result in an increased risk to Link365. Data processing arrangements that are not in line with DATA PROTECTION LEGISLATION create unnecessary risk and Link365 would have minimal legal protection in the event of a challenge being made. Staff who do not comply with this policy may be subject to disciplinary action.
